Minutes of February 12, 2008 Organizing Committee Meeting

February 12 Committee Meeting Minutes

  • Ad Sales

    • Deadlines are tight

    • Pricing makes it hard to upsell past Basic Plus
    • Next year start ad sales in November or December
    • ads@somervilleopenstudios.org address forwards to September
    • Can we sell a "restaurant" icon as well as the coffee cup?
  • Parade
    • Art cars. SCUL - ask Pecan & Skunk, or Haptotrope.

    • What time did muesum open? Open it early, 11am instead of noon?
    • end parade at museum, parade at bike speed, 10-11
    • generally the marching band idea might not play will on our likely routes
  • Museum show: mara brod and peter?
    • dates have to be nailed down by march 1 to get to Jenni.
  • Pubs
    • Set Jenni up with an email address so people who don't know who's doing what can contact her (done: pubs@somervilleopenstudios.com now forwards)

    • We do have the handicap data in the database
    • Public restrooms on map? No: most studios have them
  • Community Space
    • communityspace@somervilleopenstudios.org forwards to Sarah and Sarah so that it can be listed on the web site instead of people sending mail to random addresses as they have been doing

    • Cameras Inc volunteered (they also want to distribute maps)
    • Sarah and Sarah are focusing on the two big sites?
    • Returning community space people are coming in the with the same community space! That is, the system doesn't understand that community space is special and asks if they'll be in the same space as last year and they're all saying "yes" without confirming it with us or their hosts. For the two big sites this is obvious. For a couple easily identified small sites it's probably no problem. For people who made their own arrangements last year this will be really hard to straighten out. It came up because Ted Beatie came in as being at Mad Oyster when he hasn't spoken with them yet (this was arranged between him and them and is still between him and them, but we do want to make sure that we don't print something that's not really OK with the sites, so we probably need to contact the studios buildings to make sure the people listing them as sites are really there).
  • PR
    • Ask Crystal Huff to work on this?

    • NPR -- we'll need someone to put that together
    • curators, likewise
    • flyer distribution, likewise
    • get the Greater Boston Convention and Visitors Bureau involved! Nick will speak to Paul Selkirk about this
    • Boston Marathon tie-in?
  • Trolleys
    • Rachel will ask Lauren Leeman to be in charge of this?

    • We can definitely have 2, want to have 4 but need either city money or lots of artists for that
  • Theme
    • Stick with "10"

    • Michelle Fiorenza, Susan Brustler probably already have a show scheduled - do we coordinate with those?
    • Ties in to history of Open Studios (maybe we get Matt C to write an article)
    • Ties in to largest? open studios (I've heard second largest but never who the largest was)
    • Diversion: how to get wikipedia to say we're the largest: get the Somerville Journal to print it
  • Press
    • In at the Dig

    • Presence at the Marathon?
  • What needs to be in the flyer?
    • Map distribution locations (put that in the map, too -- and have a few far outside Somerville, like Framingham or Reading or Noho)

    • Get sponsorship for the flyer? (tricky until we know from the GBCVB how many flyers we need)
  • Mailing lists
    • Better to use the existing mail-sender thing for our messages

    • But a smaller, opt-in mailing list would be good for connecting artists to each other if they want a social list
